The Institute for Advanced Study (Princeton, N.J.). Finance and Administration. Associate Director for Administration and Finance records consist of administrative files created and accumulated by the office of the Associate Director for Administration and Finance. Materials provide documentation of a wide variety of topics related to administration broadly, inluding Board of Trustees minutes, Faculty and Executive Officer minutes, Faculty files, and Member files. Additional records document efforts related to construction, capital campaigns, staffing, and special projects/events hosted by the Institute for Advanced Study. Materials date from approximately 1936-2016 and undated.

Select materials in this collection are subject to the Institute for Advanced Study Archival Policy (1986).

Per the Institute for Advanced Study Archival Policy, Institute records remain under restriction for 30 years from the date of the record’s creation. Additionally, all institutional records related to personnel (including human resources record and/or records related to recommendation and/or appointment to the Institute) remain restricted for the lifetime of both the creator and subject.

In accordance to U.S. Copyright Law, researchers seeking to reproduce and/or publish materials in the entirety and/or for commercial purposes will require the permission of the copyright holder.

The Institute for Advanced Study holds the copyright to materials generated by Institute employees over the course of their work for the Institute. Where the Institute for Advanced Study holds the copyright, researchers are free to reproduce materials for one-time, non-commercial purposes. Biographical / Historical

The Institute for Advanced Study first established the Finance and Administration office in 1978 under the tenure of former Director Harry Woolf. The position Associate Director for Administration and Finance formed concurrently with the office itself in 1978.

Allen Rowe first held the position from 1978 until 2008. Following Rowe's retirment, John Masten held the position from 2008 until 2017. The Finance and Administration office reorganized again following Masten's departure. Subsequently, the Institue changed the title of the position to Chief Operating Office and Associate Director and all subsequent records may be found under this later record group.

Researchers should be cautious not to confuse the office with the Associate Director and Secretary of the Corporation, a parralell position housed within the Director's Office of the Institute for Advanced Study from 1980 to 1988.

Materials date from from approximately 1930-2016 and undated.

Arrangement

This records group is arranged into two distinct sub-groups: Administrative Files of Allen Rowe and Administrative Files of John Masten.

Immediate Source of Acquisition

Institute for Advanced Study (Princeton, N.J.). Finance and Administration staff transferred these materials to the Shelby White and Leon Levy Archives Center over the course of several years from 2005 to 2018.

Processing Information

Upon receipt, archivists rehoused material into acid-free containers for long-term storage and preservation. Initially, archivists separated the files of Rowe and Master into two separate record groups (00039 and 00041). In 2022, Caitlin Rizzo combined the two record groups into a single record group for the office and arranged materials into two sub-groups that reflected their original distinct provenance.
