Associate Director and Secretary of the Corporation records consist of administrative fukes created and accumulated within the office of the Associate Director and Secretary of the Corporation. Materials consist of subject files of administrative records documenting Institute for Advanced Study staff and finances as well as chronological correspondence dating from 1975 to 1983.

Per the Institute for Advanced Study Archival Policy, Institute records remain under restriction for 30 years from the date of the record’s creation. Additionally, all institutional records related to personnel (including human resources record and/or records related to recommendation and/or appointment to the Institute) remain restricted for the lifetime of both the creator and subject.

Biographical / Historical
The Institute for Advanced Study (Princeton, N.J.). Director's Office first established the position of the Associate Director and Secretary of the Corporation in 1980.
From its foudning in 1930 to 1977, the Institute for Advanced Study Director's Office consisted only of the Director and secretarial assistants or aides to the Director. In 1977, Woolf created the position of Associate Director for Public Affairs and John Hunt was hired to fill the position. In 1980, the Associate Director for Public Affairs position was reorganized. Subsequently, John Hunt's title changed to become the "Associate Director and Secretary of the Corporation." John Hunt held the position until his retirement from the Institute for Advanced Study in 1982. Patricia LaBalme succeeded John Hunt in 1982 and remained in the position until 1988. Following the appointment of Marvin L. Goldberger, the position was dissolved. LaBalme remained the Secretary of the Corporation and continued to hold the responsibilities associated with that postion, but the Associate Director position within the Director's Office ceased to exist.
Researchers should not confuse this position with the Office of the Associate Director for Finance and Administration which existed within the Finance and Administration office beginning in 1978 and continues today.

Arrangement
The records are arranged into the following two sub-groups: Administrative Files of John Hunt and Administrative Files of Patricia LaBalme.
Immediate Source of Acquisition
Institute for Advanced Study (Princeton, N.J.). Director's Office staff transferred these materials to the Shelby White and Leon Levy Archives Center in 2011.
Processing Information
Upon receipt, archivists rehoused material into acid-free containers for long-term storage and preservation. Initially, archivists separated the files of Hunt and Labalme into two separate record groups (00036 and 00038). In 2022, Caitlin Rizzo combined the two record groups into a single record group for the office and arranged materials into two sub-groups that reflected their original distinct provenance.
